Who we are
SubbieSnap is a job board for UK construction subcontractors (subbies) and the firms that hire them, on subbiesnap.com and in the SubbieSnap app. It's run by [who runs SubbieSnap: a name and address, added before launch], who is responsible for your information (the data controller).
Questions about your information: hello@subbiesnap.com.
What we collect
When you sign up:
- your name, email address and password (stored scrambled, so nobody can read it), and whether you're mainly a subbie or hiring.
If you set up a subbie profile:
- your photo, trades, years in the trade, bio and photos of your work
- your base postcode and how far you'll travel. We turn the postcode into map coordinates for distance searches. Others see the area, not the postcode.
- your availability, usual day rate, CIS status, and whether you have your own tools, transport and a driving licence
- your mobile number
- the cards, insurance and ID you add, with copies of the documents.
If you set up a company profile:
- the company's name, logo and number, the trades you hire, the areas you work in, your usual payment terms and your mobile number
- for limited companies, the company's public record at Companies House: its status, accounts, insolvency history and business type.
As you use SubbieSnap:
- job posts, applications, invites, offers and hires, chat messages, and the photos and files sent in chats
- gangs you set up or join
- reviews, replies, pay-day answers, no-shows and cancellations
- reports you make, people you block, and your alert settings
- a record of each time a firm opens one of your documents.
And automatically:
- the IP address and type of phone or browser you sign in from, kept with your login to keep accounts secure
- your phone's alert address, if you turn on alerts in the app
- a cookie that keeps you signed in on the website. Your light or dark setting is saved in your browser. We don't use advertising or analytics cookies, and we don't track you across other sites or apps.
We never ask for your National Insurance number, UTR or bank details.
Why we use it
- To run SubbieSnap for you: your account and profiles, jobs, applications, chat, hiring, alerts, password resets and emails about your account. We need to, to provide the service you signed up for (contract).
- To keep it safe and fair: reviews, pay-day checks, Companies House checks, spotting labour agencies, reports, blocking, moderation, suspending accounts that break the terms, and preventing fraud and abuse. This is in our legitimate interests, and yours: a job board both sides can trust.
- Push alerts: only once you've allowed them on your phone (consent). Turn them off any time, in the app's alert settings or your phone's settings.
- When the law requires it, and to deal with legal claims (legal obligation and legitimate interests).
We don't sell your information, and we don't use it for advertising.
Who sees what
- Anyone, including search engines: job posts (with the firm's name, the area, the rate and payment terms, but not the site address), firm profiles and their records, and published reviews. Reviews of firms show the subbie's first name and trade. Pay-day answers are only shown pooled, once a firm has 3 or more.
- Firms on SubbieSnap: subbie and gang profiles (the area, not the postcode), and the cards and insurance listed (the type and expiry, not the documents). Subbies who are "Not looking" don't show in searches.
- A firm that shortlists you: your documents, through links that only work for a short time. Each time the firm opens one is logged, and you can see it. A chat opens with them.
- Once you're hired: the firm gets your mobile number, and you get the site address and the firm's number.
- In a gang: members see each other's names and photos. When the ganger puts you forward for a job, the firm sees you as part of the gang, and your documents are shared if the gang's shortlisted.
- Our admins, when they need to, for example to look into a report.
- Once you block someone, neither of you sees the other in searches, job lists or alerts, and you can't message each other.
Services we use
These companies handle information for us, only to provide their service:
- Cloudflare: runs our website and the app's server, and stores photos and documents in the EU (a US company)
- PlanetScale: our database, in London (a US company)
- Resend: sends our emails (a US company)
- Expo: sends alerts to the app, through Apple's and Google's alert services (a US company)
- Companies House: we send a company number to look up its public record
- postcodes.io: we send postcodes and place names to find where they are.
Where information is handled outside the UK, it's protected by the safeguards UK law requires, such as adequacy regulations or the ICO's international data transfer agreement.
How long we keep it
- While your account is open.
- When you delete your account (in the app or on the website, under Settings), we delete your profiles, documents, photos, gangs, job posts, applications, chats and reviews straight away. Reports you've made are kept without your name, so we can still act on them.
- Database backups roll over every 7 days, so deleted information is gone from them within a week.
- Login records are deleted when they expire, and counts of login attempts after a day. Error logs are deleted after a week.
Your rights
You can ask for a copy of your information, and ask us to correct it, delete it, limit how we use it, stop using it, or send it to you in a format you can reuse. You can see and change most of it yourself, and delete your account at any time. For anything else, email hello@subbiesnap.com. We'll reply within a month.
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office, at ico.org.uk or on 0303 123 1113.
Keeping it safe
Everything travels over encrypted connections. Passwords are stored scrambled. Documents are stored privately and only shared through short-lived links, once a firm has shortlisted you.
Age
SubbieSnap is for people aged 18 and over.
Changes
If we change this policy in a way that matters, we'll tell you by email or in the app before the change takes effect. The date at the top shows when it last changed. See also our terms of use.
